Privacy Policy

What we collect, what we do with it, and what we don't. Written in plain English on purpose — the systems we build only work if you trust us with your information.

We built Sacred Studios because most service businesses lose customers in the gaps between contact and conversation. The systems we build for our clients — and the systems we use to talk to you — only work if you trust us with your information. Below is exactly what we collect, what we do with it, and what we don't.


What we collect

When you book a discovery call, fill out a form, chat with our AI (Sage), or text us, we collect:

  • Name (first and last) — so we know what to call you.
  • Email address — for confirmations, proposals, and follow-ups.
  • Phone number — for SMS replies, voice agent calls, and SMS-based assessments.
  • Business name — so we can scope what we'd build for you.
  • Industry — so we can pull the right context (a roofing company has different needs than a restaurant).
  • A one-line description of what's eating your time — your words, captured verbatim.
  • Conversation transcripts — every chat, SMS, and voice call you have with our systems. Used to inform the proposal we send and to improve the systems themselves.
  • Page URL — when you submit a form or open the chat, we capture the page you came from.
  • Tags — internal labels we apply (e.g., "lead from funnel", "discovery call booked", "assessment requested") to route you correctly in our system.

We do not collect:

  • Your social security number, government ID, or any other government-issued identifier.
  • Your credit card or banking details. Payment processing is handled by Zoho (invoicing + payments); ACH payments are handled through our bank's relay. We never see or store full card numbers.
  • Your location beyond city/state.
  • Cookies that track you across the rest of the internet. The chat widget on our site uses one in-memory session ID to maintain the conversation — that's it. No third-party tracking pixels embedded in our chat or forms.

How we use it

  • To respond to you. Auri or Will (the human team) and Sage (our AI) read your messages, draft replies, and follow up. Conversation history flows back into the AI so it remembers context across messages — same as you'd expect from any real conversation.
  • To send you proposals, scope documents, and onboarding materials if you become a client.
  • To improve our systems. Conversations may be reviewed (by humans) to refine the AI's responses, fix bugs, and tune voice. We do not sell or share these conversations with third parties for advertising.
  • To send you follow-up SMS and email in the days after you engage with a demo, assessment, or call. You can stop these any time by replying STOP, UNSUBSCRIBE, or END to any SMS, or by clicking unsubscribe in any email.

Where it lives

We store your information across these systems:

  • Zoho — our CRM (Bigin), invoicing, and payment processing. Contact records, deals, invoices, and payment status live here.
  • Supabase — the database behind your client portal. Holds your portal account, project status, and the sanitized billing summary shown in your Billing tab. Each client's data is isolated by row-level security, so one client can never see another's.
  • GoHighLevel — web-chat and SMS message routing.
  • n8n (a workflow automation platform we self-host) — the engine that routes messages between the systems above.
  • Cal.com — scheduling for discovery and check-in calls.
  • Anthropic Claude (the AI that powers Sage) — your conversation messages are sent to Anthropic's API to generate Sage's replies. Anthropic does not train its models on your data per their commercial agreement.

All of these live behind authentication. The credentials that connect them are held in a dedicated secrets vault and rotated on a regular cadence — never stored in plain text.

Who we share it with

The short answer: nobody, unless one of these is true.

  • Sub-processors we use to operate. Zoho (CRM, invoicing, payments), Supabase (portal database), GoHighLevel (chat/SMS routing), Anthropic (AI), Twilio (for SMS), Retell (for voice agents), Cal.com (scheduling), Google Workspace (for email). Each has their own privacy practices — links below.
  • Legal compliance. If we're legally compelled to disclose information by a valid subpoena, court order, or law enforcement request, we will comply.
  • Business transfer. If Sacred Studios is acquired or merges with another company, your information may transfer as part of that transaction.

We do not sell your information. We do not share your conversations with advertisers. We do not run analytics scripts that profile you across the internet.

Your rights

You can:

  • Request a copy of all the information we have about you. Email [email protected] and we'll send it within 14 days.
  • Request deletion of your information. Same email, same timeline. Note that we may retain anonymized records for legal and accounting purposes.
  • Stop receiving messages any time. Reply STOP / UNSUBSCRIBE / END to any SMS, or click unsubscribe in any email. We honor these immediately.
  • Update your information if anything's wrong. Email us; we'll fix it.
  • Object to specific uses (e.g., follow-up sequences) without deleting your record. Email us.

Children

Our services are intended for businesses, not minors. We do not knowingly collect information from anyone under 18. If you believe we have collected information from a minor, email us immediately and we'll delete it.

Security

We use modern encryption in transit (HTTPS everywhere) and at rest where supported by our sub-processors. We rotate authentication tokens on a regular cadence. We do not store passwords in plain text.

That said: no system is invulnerable. If we discover a security incident affecting your information, we will notify you within 72 hours of discovery, by email and SMS to the contacts you've shared with us.

Changes to this policy

When we update this policy materially, we will:

  • Post the updated version at thesacredstudios.com/privacy
  • Update the "Last updated" date at the top
  • Email everyone who has actively engaged with us in the prior 12 months

Minor edits (typo fixes, link updates) may happen without email notification but will be reflected in the document.
